We are seeking a skilled Vehicle Rental Administrator to join our dynamic team. In this role, you will be responsible for processing enquiries and reservations for a rapidly growing fleet of commercial vehicles to ensure we meet the highest standards of customer satisfaction. Your expertise will contribute to the overall performance of our fleet, ensuring that each vehicle is utilised to it's maximum potential.

The Vehicle Hire Administrator needs to be customer focused and driven by success to ensure satisfaction and prolonged business growth. If successful in your application, you will be employed by Nationwide Commercials Ltd, attending to a growing customer base in the lcv rental and sales sector.

The Role

As a Vehicle Rental Administrator you are responsible for processing reservations & co-ordinating maintenance and repair of our vehicles to ensure they are safe and legally compliant for our customers to hire and purchase. Key Responsibilities

Training and Learning:

  • Actively participate in on-the-job training.
  • Develop skills in diagnosing and maintaining light commercial vehicles.

Documentation and Reporting:

  • Keep accurate records of services & parts used.
  • Carry out bookings and record customer information.
  • Record damages to vehicles and coordinate repairs.
  • Ensure all documentation meets company and industry standards.

Customer Service:

  • Interact professionally and courteously with customers and suppliers.
  • Ensure that all calls are answered within target time and meet the quality standards set by the business.
  • Maintain positive relationships with customers by displaying extensive knowledge our services and the rental sector.
  • Qualify and process vehicle bookings and handovers over the phone and face to face.
  • Address customer concerns and ensure satisfaction.

Vehicle Maintenance and Repair:

  • Assist with routine tasks like taking tyre pressures, checking levels, and damage inspections.
  • Topping up fluids where necessary.
  • Working with parts suppliers to ensure margins are maintained.
  • Clean and prepare vehicles for both sale and hire.

Safety and Compliance:

  • Follow all safety protocols and guidelines.
  • Adhere to company policies and environmental regulations.
  • Maintain a clean and organised work area, ensuring proper maintenance of tools and equipment.

Entry Requirements and Qualifications
  • Aged 26+
  • Experience of the automotive / vehicle rental sector desired, but not essential
  • Excellent problem-solving skills and attention to detail.
  • Ability to work independently and as part of a team.
  • Strong communication and interpersonal skills.
  • Willingness to follow instructions and learn from experienced staff.
  • Basic computer skills for processing bookings, recording documentation and communication purposes.
  • Must hold a full UK driver's license and clean driving record.
